Do Desktop Search Programs Eliminate Need to Organize Electronic Files?
I used to recommend that people set up folders in their email program that paralleled the files in their paper filing cabinet. However, with today's advanced tools such as Windows Desktop Search, it's possible to find information in literally seconds, so it's no longer as important to do this. Windows Desktop Search is a free download from our friends at Microsoft that allows you to type in a keyword or phrase and it will find all instances of it on your computer, whether it's an email, document, or other type of file. Similar tools are available from Google and Copernic.
One drawback is that these programs work by continually updating an index all the files on your system, so they can slow it right down if you have an older computer which doesn't have a lot of RAM.
Another downside of relying on desktop search programs to locate files is that if the term you're searching on is one that you use often, the list of search results may be quite long and include a number of items not related to the project you are working on.
In addition, when you keep all files related to a specific project or topic in the same folder, not only is it easier to find the one you want, but when that project is complete, you can easily archive or delete the entire folder.
Bottom line – desktop search is good, but it's not perfect!
