What is a Paperless Office?
What is a paperless office?
- An office environment that does not pass paper from one person to another
- Paper that is received at the office is scanned into a digital file and saved on a shared network. The paper is discarded
- Employees have two computers at their desk: one is used to perform their work and the other is to view scanned or online reference material
Do you want to try it in your office? Here are some tips:
- Establish a file structure is easy-to-use and easy-to-understand by all employees. Try to mimic standard paper filing. Save electronic files in an organized structure by subject, just like paper files. Do not save electronic files by method of delivery (e.g., AOL downloads), and do not save electronic files by the program that created the files (e.g., all MS Excel files in one subdirectory and all MS Word files in a different subdirectory)
- Backup files on a regular and frequent basis to your company's server or a service provider via the web. Some service providers have free services such as IDrive.com. IDrive offers 2GB of free online backup space without any backup and restore restrictions or bandwidth limits or file type restrictions
- Purchase a scanner that fast and easy-to-use. If it is too slow, employees will not have the patience to scan
