More Than Just a Signature
Using email signatures as Signatures is great, but what more can you do with this time saving feature? Before we get to the answer to that question, let's think about what the signature actually does. With 3 clicks of the mouse it automatically inserts text that you typed into the body of the email.
Now let's think about some of those redundant emails you get in any given day or week requesting some sort of canned response from you.
What services do you offer?
Can you tell me what it is that you do?
What is your fee structure?
Are you accepting new clients?
How do I go about hiring you?
Instead of typing up a new email every single time, you could search through your sent items and pray to the powers that be that you find one OR you could click on Insert - Signature - Services I Offer then click SEND!
Yep, you can type that generic response one time and then just re-insert it when you need it. No need to duplicate your efforts and waste valuable time.
This can also work well if you are out of town and have a virtual assistant helping you answer emails. You don't have to worry about the VA not quite getting your personality down or not knowing what is going out. She can just use the same "Signature" if you will and be on her way.
What about for those of you who coordinate Networking Group Meetings? Instead of retyping or copying and pasting last weeks reminder, just set up a signature and label it XYZ Networking Group. I can't tell you how wonderful this made my little job when I was in charge of sending out the reminders. It was wonderful!
Maybe you are just up to your eyeballs in work, but you don't really want to put on your auto-responder for being out of the office. Why not just have a signature that simply states you are up to your eyeballs at the moment, but you will get back to them as soon as you unbury yourself. You can then pick and choose who you send it to.
