HOW A BUSY MOM CAN MANAGE HER E-MAIL
I don't know about you, but I am inundated each and every day by e-mail. I have my personal e-mail and my business e-mail. I am involved in Free Cycle (www.freecycle.org) and get close to 100 emails a day just from that. I am on Facebook and get emails with status updates as well. What is a busy mom to do?
You need to learn how to manage all the e-mail you receive without driving yourself crazy!
E-mail is a great way to stay in touch with friends, family and business associates but if it is not managed properly, it can create havoc.
For instance, when the phone rings and you are too busy to answer it, there is an answering machine or voice mail that will record the call so you can return it at your convenience. You need to treat your email the same way. Don't check it a hundred times a day. Set aside a period of time during the day to check it and respond to it.
If you are not interested in the person or entity sending you the email, don't even waste your time. Delete it! Remember that I mentioned getting about 100 emails a day just from Free Cycle. It's not a problem for me, though. I scan the subject lines and immediately delete the ones I am not interested in. I do not sit there and read each one. I could be there "til the cows come home"! (No offense to the cows.)
Create folders for the emails that can be grouped together but only if you need to keep them for future reference. They certainly have a way of accumulating so you want to keep it under control. The emails that you still need to act on can be kept in your in-box as a reminder to respond to them. You will tend not to ignore them if they are staring you in the face every time you open up your in-box. The other alternative is to create a folder called "Act" and put them there, setting aside time to tackle them, one by one.
Schedule time to work through the emails that you retain in your in-box or Act folder to get them cleared up. You should not be keeping long lists of email.
Be diligent and schedule time on a daily basis to review the contents. Too little or too much checking; neither are good. Find that balance and you will see that even as a busy mom, you can manage your e-mails.
