My Files Are Too Confusing
If you feel like your files are too confusing, you may not have defined your file Categories. Before I work with a client sorting papers in his or her office, we first define the different Categories of files they possess. A person's files fall into 3-5 broad categories. If you work from home and use your office for personal and work file storage, you can have 3-5 categories for work files and 3-5 for personal files. Ideally you would assign each different category of files to a different file drawer or file box.
Here are some common categories for personal and business:

Action files Things you must do, active projects, and hot items

Vital records Marriage certificate, birth certificate, passports, will, medical directive, etc.

Financial records Bank statements, investment statements, credit card statements, etc.

Lifestyle files The fun things in life: restaurants to try, books to read, vacation, home dιcor, etc.

Kids School information, academic records (report cards, standardize test scores) & extracurricular activities

Client files Records for each current client and even potential clients
-
Administration Files related to legal matters, human resources, technology, and operations
-
Sales/Marketing Marketing materials, PR, networking, partnerships, and copy ideas
