Naming Your Digital Files

As paper is becoming less and digital is the norm, you need to name your electronic files properly so that you can easily find them.  The most important elements of a filename are:

  • Title - Clearly describes the document.  Think of the user/recipient and how they might search for and retrieve the document
  • Date - Date relevant to the document such a version date or published date
  • Version Number - Especially important when documents are shared with others

To reduce the length of your title consider using abbreviation.  The following provides some examples of common abbreviations1.

  • AGD Agenda
  • AGR Agreement
  • ARS  Action Request
  • BRN  Briefing Note
  • CPA  Cover Page
  • CON Contract
  • DFT  Discussion Draft
  • EXA  Example or Sample
  • FRM Form
