Blog: Use Your Space & Conquer Office Workflow
Resolution to Conquer Office Workflow
In this new year think…Input, Process, and Output to conquer office workflow. Mail flows "in." It is processed. Then mail flows "out." Some basic office tools will help support this workflow. You'll need a:
-
In-box (usually a stationary tray)
-
Action Files (folders in a step sorter on your desk)
-
Reference Files (folders in a file drawer at your desk)
-
Trashcan
-
Shredder
-
Paper recycle bin
-
Out-box (usually a stationary tray)
If you cannot process your mail immediately, place it "in" your In-box (input).
When you are ready to sort the mail, go through your In-box, process and make a decision about each piece of mail based on whether it is an Action, Reference, Memory, or Trash. Mail that is an action or reference, can remain in your office, filed in its proper folder or home
Mail that is a memory or trash will need to leave your office and flow "out" (output). Memorabilia should be filed in an archive file located at the top of a storage closet, in central files, or in an attic – they should not be stored in your main desk area. Trash should flow "out" by a paper recycle bin, trashcan, or shredder.
Completed actions should also flow "out" via the methods above or for completed actions such as a paid bill, place in the Out-box to be mailed (output).
