Secretaries, administrative assistants, office clerks -- whatever you call them, they are lifesavers! But are you making the best possible use of your SUPPORT staff? Whether you rely on a single virtual office assistant or an entire room full of minions and flunkies, you don't want to waste your precious resources. DELEGATING involves more than just dumping busy work on someone else's desk. You can train your administrative assistant to serve as your GATEKEEPER, your project manager, and the fine line between you and overwhelm. But you have to know how to use delegation as a true time management tool.
Give your administrative staff CHALLENGING jobs, as well as the menial tasks. If you treat delegation as a training tool, your staff will be able to take on more difficult assignments successfully in the future -- freeing up more time for you.
When delegating a task to an assistant, be clear about your EXPECTATIONS. Set firm deadlines and measures for successful completion of each project -- but try to avoid micro-managing. Is it more important that it get done, or done your way?
Make sure to give your staff adequate RESOURCES to complete the task -- references, contact information, and the authority to act on your behalf. Also allow enough time to focus fully on your project, without too many other responsibilities.
